Easterseals PORT Health, one of the largest non-profit service providers in North Carolina & Virginia is seeking a dedicated Event Specialist who is energetic and passionate about the successful planning and execution of annual fundraising events, third-party events, pop-up events, and donor recognition activities. This person will work closely with the development team to coordinate fundraising/volunteer activities as necessary and responsible for accurately and timely acknowledging all special events contributions.
Full-time Schedule:
- Monday-Friday with some weekends or evenings during events
What You’ll Do as a Event Specialist:
- Plan and implement all events in coordination with the development team, steering committees, corporate sponsors, and volunteer leadership.
- Responsible for all aspects of event production and execution, including (but not limited to): the development & execution of detailed timelines, logistics, coordination of printed materials, assisting volunteers, working with the pre-set budget guidelines, and all other aspects to create a successful event.
- Process all sponsorship commitments with accuracy and attention to detail, ensuring all benefits offered are recognized and the sponsor is thanked promptly and meaningfully.
- Solicit silent auction items, in-kind donations, and underwriting for all events.
- Create meeting agendas and all documents needed in preparation for steering committee meetings
- Responsible for creating and coordinating all event collaterals to meet printing and marketing timelines.
- Responsible for developing, scheduling, and creating a communication timeline for events, and coordinating the timely execution of social media posts, e-blasts, PSA placements, and social calendars.
- Responsible for developing and creating content for social media ads and posts for all events
- Responsible for creating pre and post-event press releases for all events
- Responsible for updating donor accounts in the donor database, creating invoices, and tracking payments, from sponsors and event participants.
- Responsible for providing the most personal, appropriate, and timely acknowledgment and stewardship experiences possible for donors.
- Oversee event revenue and reconciliation to ensure all sponsorship pledges and donations are paid promptly.
- Identify, track, and alert the development team of guests and companies new to ESPH through event participation
- Travel required as needed in NC & VA

What We’re Looking for in a Event Specialist:
- Minimum 3-5 years experience working on special events with non-profit event experience preferred
- 4-year degree or equivalent work experience
- Proficiency in Microsoft Office, Google Suite, and Canva
- Experience with GiveSmart, OneCause or other event management & peer-to-peer fundraising platforms preferred
- Baseline knowledge of CRM systems preferred
- Possess independent judgment and the knowledge and experience to make decisions on event functions
- Ability to work independently with minimal supervision as well as cohesively on a team and meet all event/activity deadlines
- Ability to meet all event/activity deadlines
- Valid Driver’s License required
- Provide samples of past special events collaterals, social media posts, and event timelines
